The American Federation of Arts (AFA), an international leader in traveling museum exhibitions, seeks a highly organized and experienced Exhibition Registrar to join our Exhibitions team. This role manages all registrarial aspects of a minimum of 2–3 active touring exhibitions per year while supporting projects in development. The ideal candidate is detail‑driven, financially savvy, and excels at coordinating complex logistics across multiple venues, lenders, and project teams.Location: Hybrid (3 days in NYC office minimum when not traveling)Travel Requirement: 40–50% (Domestic and International)Key ResponsibilitiesLogistics & Exhibition Management• Oversee all registrarial duties for assigned traveling exhibitions from development through tour completion including but not exclusive of,o Work together with the Manager of Exhibition Administration to track, negotiate, and manage loan agreements; ensure all lender requirements, security standards, and exhibition directives are met;o Coordinate domestic and international shipping, including packing, crating, courier arrangements, fine‑art handling, customs, CITES, and Immunity from Judicial Seizure applications;o Provide venues with installation guidelines, exhibition documentation, and scheduling updates; verify venue readiness and adherence to contract terms;o Supervise installation, deinstallation, packing/unpacking, and condition reporting at venues; serve as transit courier as needed;o Monitor objects on tour, maintain up‑to‑date condition records, and oversee conservation needs. Insurance & Risk Management• Secure and maintain insurance coverage for assigned exhibitions;• Prepare and submit United States Government Indemnity applications and issue certificates of insurance to lenders;• Identify risks related to artwork storage, transport, and installation, and propose mitigation strategies.Financial Oversight• Develop preliminary logistics budgets for exhibitions in development;• Monitor actuals vs. budget, track and forecast expenditures, as well as diligently process related invoices;• Collaborate with Exhibition Administration on forecasting, reporting, and vendor payment planning.Communication & Coordination• Serve as liaison for vendors, lenders, venues, exhibition coordinators, curators, conservators, and contractors with regards to logistics planning;• Ensure timely communication of installation instructions, shipment updates, and schedule changes among stakeholders;• Maintain organized project archives, registrarial documentation, and exhibition records.Team & Institutional Support• Support overall departmental planning, strategy, and new initiatives;• Monitor contract art handlers, couriers, and conservators during installations as assigned;• Contribute to collaborative cross‑departmental planning to ensure high professional standards across AFA exhibitions.Qualifications• Bachelor’s degree (Art History, Museum Studies, Arts Administration, or related field) preferred or comparable experience and work history in the field;• 3–5+ years’ experience in museum or gallery registrarial practice (touring exhibition experience required;• Ability to manage complex budgets and interpret financial data;• Proven experience with databases and digital archiving as well as proficiency using Collector Systems, Monday.com, Microsoft Office 360 Suite- specifically SharePoint and Teams;• Deep knowledge of fine‑art handling, domestic and international shipping, customs processes, and condition reporting standards;• Strong project‑management capability with excellent attention to detail and the ability to juggle multiple deadlines;• Exceptional communication, negotiation, and stakeholder‑management skills;• Valid passport and driver’s license; ability to travel up to 50%, often for 1–2 consecutive weeks;• Ability to think creatively and responsibly when troubleshooting logistical challenges.Work Environment• Hybrid schedule: 3 days in office when not traveling• Oversees contract personnel; no direct full‑time reports.• Must reside in the tri‑state area or within a reasonable commuting distance of New York City.Salary Range$70,000 – $80,000, commensurate with experience.
