GALLERY MANAGERGalerie de Bellefeuille New York City LLCPosition SummaryThe Gallery Manager oversees all aspects of gallery operations, sales, administration, client relations, staffing, inventory, logistics, and exhibition management. This leadership role ensures the gallery runs efficiently, professionally, and in alignment with company standards.The Gallery Manager is supported by an Operations Manager, who assists with day to day administrative coordination, scheduling, vendor management, and operational continuity.The Gallery Manager also supervises a team of sales representatives, including an additional NYC based sales person, ensuring strong commercial performance and exceptional client service.The Gallery Manager acts as the primary liaison between the NYC location and Head Office in Montréal.1. OPERATIONS & ADMINISTRATIONDaily ManagementOversee and coordinate the daily operations of the NYC gallery.Supervise opening/closing procedures, cleanliness, and the professional presentation of the space.Manage administrative tasks and serve as the first point of contact for staff, Head Office, and the Operations Manager.Scheduling & HR SupportCreate and maintain staff schedules (including sales staff and Operations Manager).Approve timecards weekly and support employees with timecard entry or payroll questions.Review timesheets for accuracy (absenteeism, installation hours, etc.).Maintain the gallery’s location report for all employees (vacations, travel, cross-location assignments).Supplies & VendorsMaintain inventory of supplies and coordinate stationery orders through Head Office.Coordinate with caterers and external vendors for gallery events, supported by the Operations Manager.Finance & Cash HandlingManage petty cash and perform regular bank deposits.Ensure accurate communication with accounting regarding sales recaps, payments, and documentation.2. SALES MANAGEMENT & CLIENT RELATIONSSales LeadershipOversee all sales activity within the gallery.Provide direction, coaching, and support to all sales representatives, including the new NYC sales person.Maintain strong client relationships and ensure high‑end customer service.Approve discounts within authorized limits and coordinate special approvals with Head Office/Director/CEO.Sales OperationsMonitor weekly/monthly sales performance and prepare recap reports.Ensure timely and accurate completion of proformas, sales orders, and contracts.Coordinate communication between sales, shipping, and registrar teams.Client EngagementPersonally manage VIP clients and high‑value prospects.Ensure consistent follow‑ups on walk-ins, inquiries, emails, and digital communications.Oversee personalized outreach, promotional efforts, and language preferences.Works on Trial & ConsignmentsApprove and supervise artwork trials.Oversee contracts for hotel installations, third‑party loans, consignment, and resale arrangements.
