Tribeca Art Gallery is seeking a full-time Executive Assistant to the Owner. The position will report directly to the Owner and will support the Owner in all entities, including the gallery, appraisal firm, advisory firm, and hedge fund. This position will primarily be responsible for drafting and executing daily communication, managing calendar and travel, creating and managing agendas and follow up, as well as preparing sales and offering materials. The position will work closely with senior members of the gallery while providing direct administrative support to the Owner. The ideal candidate is highly coordinated, detail oriented, mindful of time and deadlines, and curious. The position requires a high level of written and interpersonal communication, discretion, enthusiasm and follow through. Duties & Responsibilities: Draft Owner’s correspondence, including direct and personalized emails, sales offers and presentations. Liaise with clients, consignors and vendors on behalf of Owner and assist with general gallery correspondence. Draft and prepare presentations, financial reporting, and other client-facing materials for investors and clients. File and maintain digital and paper files for Owner and gallery, appraisal firm, advisory firm, and hedge fund. Manage Owner’s personal calendar and schedule annual/quarterly meetings with investors, clients, advisory board members and others for entities and gallery. Schedule and confirm appointments internally and externally. Create and confirm travel arrangements and all related correspondence for the Owner. Coordinate offering emails, cover letters and proposals for Owner related to all entities. Manage appraisal and advisory client and artwork databases. Assisting Owner and Managing Director with sales materials and presentations. Create and manage meeting agendas, notes and follow up for the Owner and gallery. Assist with planning special events for the gallery including opening receptions, scholar talks, and curator’s brunches. Expectations: Bachelor of Arts Degree. Excellent task management and organization skills. Excellent written and verbal communication. Ability to meet overlapping deadlines and strong follow-through. Proficiency in the gallery’s software, including Outlook, Adobe and Apple products, Microsoft Word and Microsoft Excel.
