TitleAdvisory Associate/Department Swing Essential Job Functions (Duties include but not limited to the following) The primary role is to assist the advisory department as well as various other departments of the business as needed. Cross training will be provided. Key responsibilities are highlighted below but this list is not exhaustive.Assist Advisory Manager (75%+ of position): o Daily maintenance record keeping and organization of high volume, strictly regulated bidding and sales process for key client relationship o Gate-keeper for in-house viewings and inspections of artworks o Drafting consignment agreements o Own, maintain and report on work-flow of artworks in various stages of the advisory process – i.e. shipping, viewings, photography, etc. o Research and analyze sale results, probabilities, etc using current and future web-based AI tools (artnet, ChatGPT, etc) o Primary point of contact and process manager for salvage sales business with a large insurance carrier partnerAssist business development team: o Fielding calls to appropriate team members in a courteous, thorough, and timely manner o Proposals and agreement letters - document production assistance and proofing o Yearly conference preparation and organization Assist appraisal project management team: o Proofing of appraisal documents from time to time during busy periods o Various general tasks as requiredOffice Responsibilities: o First point of contact for visitors and callers to the office – professional, courteous, and efficient message taking and forwarding required o Assist Server Admin with equipment maintenance (printers, postage meter, etc.) o Anticipate needs and keep office and kitchen supplies stocked o Coordinate with building management as needed o Coordinate needs of satellite offices in London, Florida, and Southern California ReportingThis role reports to the Directors of Art Advisory and to the Director of Operations Qualifications· Self-motivated and detail oriented – prioritize and manage time and tasks efficiently and completely· Curious of how IT can assist with research, and good working knowledge of Microsoft Office products – Word, Excel, Power Point, as well as comfortable working in a PC based database · Friendly, courteous manner with all peers and clients· Excellent communication and interpersonal skills· General knowledge of the field of art is necessary ConclusionThis job description is intended to convey information essential to understanding the scope of the job and the general nature and level of work performed.
