AboutPace Prints is seeking an Assistant Controller for its office in Manhattan. Pace Prints is a fine art print publisher and dealer founded in 1968. The Pace Prints Gallery, which occupies 7,500 square feet on the ground floor, encompasses three significant exhibition spaces that rotate every six weeks. In addition to its exhibitions, the gallery maintains a large selection of framed and unframed prints, most of which have been created by over 100 artists in various mediums at the Pace Prints printmaking workshops. The Assistant Controller is a critical, cross-departmental role, responsible for leading a range of significant functions of the Accounting team, including record-keeping, financial management, data management, sales tax, expense management, and reporting. ResponsibilitiesObtain primary financial data for accounting recordsRecord day-to-day financial transactions and complete the posting processMaintain revenue/expense recognition/deferred revenue/expense schedules and make deferred revenue/expense journal entries for accrual basis accountingTrack revenue, COGS and expenses by key metrics using Project Tracking and Class Tracking in Art Logic, QuickBooks Enterprise, and QuickBooks TimeCreate custom financial reports and dashboards in Excel Manage accounts payable, process payments to vendorsManage accounts receivable, including estimates and progress invoicing in Art Logic and QuickBooks.Manage employee expense reportingReconcile accountsReconcile project budgets to the booksPrepare financial reportsMaintain historical records by filing documents QualificationsAt least five plus years of bookkeeping experience in an art or related fieldAt least five years of experience in QuickBooks Ability and experience of learning and implementing new platforms across departments A Bachelor\'s degree is requiredAn Accounting degree is preferred but not required, a Bookkeeping certificate is a plusExperience with sales tax filing and tracking (Avalara experience preferred)File taxes and Payroll with Prestige PEOPrevious experience in accounting, finance, administration, or other related fieldsAdvanced knowledge of spreadsheets and ExcelKnowledge of iMeet, Word, Outlook, Zoom, Teams and Google MeetSolid understanding of accrual basis bookkeeping + revenue/expense recognition principlesExperience with deferred revenue and deferred expense journal entriesSolid understanding of accounting payable/receivable principlesProven ability to calculate, post and manage accounting figures and financial recordsProven ability to prioritize, multitask and meet deadlinesStrong organizational skills and a high degree of accuracy and attention to detailCustomer service orientationExcellent communication skillsDesire to expand role as the company grows
