This role serves as the primary point of contact for clients while coordinating closely with our production, logistics, and warehouse teams to ensure every project is completed accurately, on schedule, and within budget.This is a fast-paced, highly administrative role that requires exceptional organization, attention to detail, and the ability to manage a large volume of concurrent projects. Success in this position depends on maintaining careful and accurate project documentation, coordinating multiple departments, tracking schedules and deliverables, and ensuring every detail is communicated clearly to both clients and internal teams.Because every project is unique, unexpected challenges are part of the job. Whether coordinating a last-minute schedule change, resolving a production issue, or addressing transportation or installation challenges, this person takes ownership, keeps stakeholders informed, and works collaboratively to bring projects to a successful resolution.The ideal candidate enjoys creating order from complexity, thrives in a structured project management environment, and takes pride in delivering outstanding customer service while managing the many administrative details that support each project.Key ResponsibilitiesServe as the primary point of contact for clients, providing responsive, professional communication and exceptional service throughout each project.Manage multiple client accounts and custom projects simultaneously from initial inquiry through final completion, balancing competing priorities, changing requirements, and tight deadlines.Prepare accurate project estimates in the company database within required turnaround times, developing practical solutions that consider budgets, timelines, logistics, materials, labour, and project constraints.Manage a high volume of detailed project administration, including estimates, work orders, project documentation, correspondence, recordkeeping, and invoicing, with a high degree of accuracy.Translate client discussions, measurements, artwork information, production notes, and field observations into clear, accurate work orders and project documentation that enable production and field teams to execute work efficiently.Coordinate scheduling with clients and internal teams for site visits, crating, packing, transportation, storage, fabrication, and installation services, ensuring project schedules and production timelines remain aligned while preparing supporting work orders and calendar events.Coordinate logistics, transportation, warehousing, and subcontracted services while ensuring all required documentation and database records are completed accurately and on time.Monitor project timelines, budgets, production schedules, and key milestones, proactively identifying scheduling conflicts, missing information, resource constraints, and potential risks before they impact project delivery.Collaborate closely with production, warehouse, logistics, and operations teams to prioritize workflow, coordinate resources, and ensure projects move efficiently through every stage.Exercise sound judgment to independently prioritize work, organize competing deadlines, develop practical solutions, and communicate professionally with clients during schedule changes, production delays, transportation issues, or other unforeseen challenges.Build and maintain long-term relationships with galleries, museums, artists, designers, collectors, auction houses, and institutional clients.QualificationsThree or more years of experience in project management or account management within a fine art logistics company or a related industry involving custom projects and complex scheduling.Exceptional administrative aptitude with the ability to quickly process a high volume of data while maintaining careful attention to detail. Demonstrated ability to prioritize competing deadlines while maintaining meticulous attention to detail.Excellent written and verbal communication skills.Proven ability to solve complex operational or logistical problems in a fast-paced environment.Proficiency with Google Workspace, including Google Drive, Docs, Sheets, and cloud-based file management. Experience with FileMaker Pro database a plus
