Assistant Registrar Reports to: Collections Manager Our private collection is seeking a detail-oriented and collaborative Assistant Registrar to support our team in the care, transport, and documentation of our Modern and Contemporary Art Collection. This role requires working out of our off-site storage facilities in the tri-state area and 1-2 days/week out of our office in Manhattan. Responsibilities Preparation and Shipment Oversee the preparation of loans and donations, including condition reporting and all accompanying paperwork Ship and track artwork locations Coordinate with conservators, shippers, and storage staff to facilitate smooth collection movements Registration Receive and condition report newly accessioned artworks Lead long-term data improvement projects, including updating existing records with new research, high-resolution photography, exhibition histories, and artist biographies Evaluate and refine metadata and tagging standards in alignment with evolving institutional best practices Collaboration & Communication Serve as a responsive internal resource, providing up-to-date collection information to staff across the organization Manage cross-departmental workflows, including coordinating photography updates with relevant team members Qualifications 2+ years of experience in a registrar or collections management role Fluency in Spanish required Bachelor\'s degree in Museum Studies, Art History, or a related field preferred Proficiency with Microsoft Office and collection management systems; experience with Art Systems, AirTable, and AI strongly preferred Familiarity with Adobe Creative Suite a plus Ability to lift a minimum of 20 lbs Ability to drive is preferred The ideal candidate is organized, adaptable, and comfortable managing multiple projects in a fast-paced environment. Work Arrangements This position is primarily in-person at our off-site storage facilities in the tri-state area.
