We are seeking an experienced, highly organized, and detail-oriented Head Registrar to oversee registarial operations, inventory management, exhibition logistics, shipping, installations, and gallery operations across multiple gallery locations.This role combines traditional registrar responsibilities with hands-on exhibition management, inventory oversight, shipping coordination, facilities management, and operational leadership. The ideal candidate thrives in a fast-paced environment, possesses exceptional organizational and communication skills, and is comfortable balancing strategic planning with day-to-day execution.ResponsibilitiesRegistrar & Administrative ResponsibilitiesMaintain and oversee database management and artwork tracking across gallery inventory and collections using ArtLogicCreate, update, and audit artwork records to ensure accuracy of dimensions, medium, framing status, provenance, location, and related informationManage inventory tracking for both gallery inventory and private collection holdings across multiple locationsCreate and maintain physical and digital records, including Bills of Lading (BOLs), Proofs of Delivery (PODs), shipping documentation, and registrar filesGenerate and manage all consignment and loan agreementsCoordinate post-sale logistics and related administrative processesWork closely with the Finance Director to ensure accurate expense reporting and cost trackingOrganize, track, and reconcile invoices, receipts, and expenses from framers, shippers, customs brokers, art handlers, and related vendorsReview and verify shipping invoices and associated chargesInsurance and Risk ManagementManage gallery insurance administration and serve as primary liaison with insurance brokers regarding artwork coverage and policy requirementsCoordinate and oversee artwork valuations for inventory, exhibitions, loans, fairs, and shipments to ensure accurate coverageHandle and process Certificates of Insurance (COIs) for galleries, fairs, storage facilities, shippers, vendors, and client-related requirementsMaintain accurate insurance records and ensure coverage aligns with artwork movement, storage, and exhibition activityInventory and Collection ManagementTrack and confirm movement of artworks between gallery locations, artists, clients, framers, storage facilities, and external vendorsServe as the primary point of contact for off-site storage facilities in both New York and BrusselsConduct and oversee inventory audits and warehouse checksCoordinate framing needs, stretcher production, and artwork preparationEnsure artworks are properly labeled, documented, and stored according to gallery standardsPrepare and maintain condition reports and coordinate conservation services when necessaryShipping, Logistics, and Art Fair ManagementOversee all incoming and outgoing registrar duties related to shipping for New York and Brussels inventory, including artist shipments, loans, client transactions, and post-sale logisticsManage domestic and international art fair logistics, including shipping coordination, customs documentation, scheduling, and management of art handlersCoordinate shipping quotes and communicate directly with shipping vendors and logistics partnersGenerate FedEx and DHL shipments and oversee shipment scheduling when applicableMaintain working knowledge of packing materials and methods appropriate for a variety of artwork types and shipping requirementsCoordinate local transportation and artwork movement logisticsManage Shopify and Artsy fulfillment operations, including processing and coordinating shipments of books, prints, and related merchandiseExhibitions, Client Services, and Installation ManagementOversee installation and deinstallation of exhibitions across gallery locations in Tribeca and SohoLead and supervise art handlers to ensure efficient execution and adherence to installation schedulesManage installation timelines and maintain workflow across simultaneous projectsCoordinate and oversee off-site installations for private clientsManage client viewings and coordinate presentation of artworks across gallery spacesCoordinate artwork delivery and oversee installations in clients\' homes and private spacesPhotography and Artwork DocumentationOrganize photography schedules for inventory, exhibitions, and newly received worksServe as the primary liaison with photographers regarding artwork and exhibition documentation and inventory photographyFacilities and Gallery OperationsCoordinate gallery maintenance and vendor relationships, including cleaners, HVAC servicing, building management, and waste management servicesWork directly with building management and external vendors to maintain smooth gallery operationsOversee gallery organization, repairs, maintenance, and ordering of operational suppliesQualificationsMinimum 5 years of experience in a gallery, museum, art logistics, or related environmentStrong experience with inventory databases and collections management systems; ArtLogic experience preferredAbility to manage multiple projects and deadlines simultaneously in a fast-paced environmentStrong organizational, communication, and problem-solving skills with meticulous attention to detailPositive, professional demeanor and ability to maintain composure under pressureComfortable with physical tasks related to artwork handling and gallery operationsWillingness to travel domestically and internationally for art fairs and gallery-related projects
