The Administrator is a core member of the Kaish Family Art Project, responsible for the smooth day-to-day operation of the organization. This is a hands-on, highly organized role suited to someone who thrives in a small, mission-driven arts environment and is comfortable working across administrative, studio, and communications functions. The position also provides coordination support for key initiatives, including exhibitions, publications, and special events. This is an onsite role on the Upper West Side, five days per week, with afternoon hours.ResponsibilitiesOversee daily office organization, including supplies, workspace readiness, incoming and outgoing mail and packages, and expense trackingMaintain digital and physical project files, ensuring consistent file naming, version control, and accessibility; file meeting notes, correspondence, and contractsSchedule meetings and coordinate Zoom sessions, including transcription support as neededManage and regularly update CRM and Mailchimp mailing listsMaintain project and mailing trackers (exhibitions, publications, and outreach)Prepare studio for visitors, including checklist creation, printing artist bios and chronology materials, and arranging food ordersAssist the Director with planning and logistics for special events and exhibitionsAssist with scanning and editing digital images for presentations, publications, and communicationsContribute to drafting social media content (Instagram, Facebook, LinkedIn)Support basic design and layout work in Adobe InDesignQualifications2–5 years of experience in a gallery, museum, artist studio, or arts organizationStrong organizational skills with exceptional attention to detailExcellent written and verbal communication skillsProficiency in Microsoft Office, Google Workspace, and email marketing platforms (e.g., Mailchimp); working knowledge of Adobe InDesign
