AboutAndrew Kreps Gallery is seeking a full-time Registrar. The ideal candidate is detail-oriented, highly organized, and comfortable managing multiple projects in a fast-paced contemporary art environment. This position works closely with the Registrar and Gallery Manager, gallery staff, artists, shippers and fabricators to coordinate artwork movement, maintain accurate records, and support exhibitions, fairs, and post-sale logistics.Responsibilities• Maintain and update the gallery inventory database (Artlogic), including artwork locations and related documentation• Track incoming and outgoing artworks, consignments, loans, and inventory movements across gallery and 3 off-site storage locations• Generate detailed condition reports for gallery inventory with professionalism and accuracy• Produce, catalogue, and send Certificates of Authenticity for sold works• Maintain organized physical and digital registration files, including shipping records, loan agreements, insurance documentation, and hard copies of shipping paperwork• Coordinate domestic and international shipping for artworks, exhibitions, fairs, consignments, and post-sale deliveries• Prepare shipping documentation including commercial invoices, proformas, customs paperwork, and export/import documentation• Maintain and develop relationships with fine art shippers, couriers, storage vendors, and freight companies; negotiate pricing and ensure invoices match estimates• Arrange and track weekly shuttles and other transportation between gallery and storage locations• Track shipments and proactively resolve scheduling, customs, or transit issues as needed• Coordinate shipping schedules, packing timelines, and logistics for exhibitions, installations, and art fairs• Coordinate with preparators, artists, fabricators, and storage vendors to ensure proper packing, handling, and storage of artworks• Support the Gallery Manager with framing, fabrication, conservation, and production projects as needed• Communicate clearly with artists, clients, institutions, and vendors regarding logistics, scheduling, and artwork movement• Maintain knowledge of current sales tax and VAT regulations related to domestic and international post-sale shipping• Collaborate with gallery staff to support daily operations and special projectsRequirements• BA degree in art history, museum studies, arts administration, studio art, or related field• Minimum of 3 years experience in gallery, museum, or arts organization• Experience in international and domestic fine art shipping• Proficiency with Artlogic or comparable inventory database software• Excellent written and verbal communication skills• Strong organizational, administrative, and time-management skills• Detail-oriented with ability to manage multiple projects simultaneously in a fast-paced environment• Pro-active with aptitude for quick learning, problem-solving and teamwork• Knowledge of artwork handling, packing, installation and storage best practicesHoursMonday - Friday, 10 am to 6 pm. The candidate will occasionally need to work additional evening hours and is expected to attend key gallery events.
