Business Development Associate Location: New York (Brooklyn, NY) Reports to: Head of Program Management Employment Type: Full-time Summary The Business Development Associate keeps COLLINS\' new business engine humming. This includes three pillars: ● Project manager for active new business conversations ● Project manager for COLLINS\' marketing ● Right-hand to leadership on the admin details that keep new business moving Role This role sits at the center of supporting COLLINS in winning new and better work. It is primarily a new business project management role: owning the pipeline tracker, driving scheduling and logistics for prospect meetings, and coordinating the internal teams—strategy, creative, and leadership—who come together to build proposals and credentials. The same organizational muscle extends to agency marketing, where this person project-manages the production of case studies, articles, and Collins Sessions content, and keeps social and web channels current. A smaller, but essential, slice of the role is direct admin support to leadership—calendars, meeting prep, and vendor/contractor coordination—concentrated around new business activity. Key Responsibilities New Business Project Management (~50%) ● Own and maintain the new business CRM/pipeline tracker—keeping status, next steps, and deadlines current and visible to leadership, and proactively flagging opportunities that have gone quiet or lost a point of contact. ● Manage scheduling and logistics for prospect meetings, pitch calls, and new business travel. ● Coordinate internal teams across strategy, creative, and leadership to keep pitch deliverables on schedule, and confirm handoffs between team members are explicitly acknowledged—not assumed. ● Ensure follow-ups and next steps on active opportunities have a named owner and a backup, so nothing stalls when someone is out. ● Flag risks to pitch timelines early and keep stakeholders aligned on what\'s due and when. Agency Marketing Production (~35%) ● Project-manage the production of case studies and articles sourced from team members across the agency, working alongside creative leadership on the COLLINS brand. ● Coordinate production of COLLINS content marketing (Sessions, essays, podcasts, interviews, newsletters, etc). ● Schedule and post agency social content. ● Keep the COLLINS website current with new work, press, and content. ● Note: this role provides production and coordination support for Collins\' own marketing—it is not the owner of Collins\' brand or editorial strategy, which sits with creative leadership. Leadership & Admin Support (~15%) ● Manage calendars for the CEO, prioritizing new business commitments. ● Coordinate vendors and contractors supporting new business and marketing production. Qualifications & Skills ● 2–4 years of experience in project management, business development, marketing coordination, or agency operations. ● Strong organizational instincts—comfortable owning a tracker, a calendar, and a production schedule at the same time. ● Clear, professional written and verbal communication; comfortable coordinating senior stakeholders. ● Experience with CRM or pipeline-tracking tools, project management tools (e.g., Asana, Notion), and basic content/social scheduling tools. ● High attention to detail and follow-through; nothing slips because it wasn\'t tracked. ● Comfortable working across disciplines (strategy, creative, leadership) without owning the creative or strategic output itself. Success Metrics / KPIs ● Pipeline hygiene—CRM/tracker is consistently current and accurately reflects pitch status; no active opportunity goes untouched or unflagged for an extended period. ● Zero proposals sent without completing the review checklist and leadership sign-off. ● Volume and cadence of marketing assets shipped—case studies, articles, social, and web updates delivered on schedule. ● Leadership confidence in admin support—calendars and meeting prep require minimal correction or follow-up. ● Establishment of systems and protocols to mature new business efforts and agency marketing efforts.
