Position Objective:Assist the Director of Operations and support the day-to-day activities of the studio, as well as personally for the Principal. This position is based out of the artist’s studio and is integrated with the studio’s staff. Ideal candidates will possess a balance of professionalism, discretion, positive attitude, resourcefulness, and flexibility. Previous experience as an administrative assistant, and experience in a creative field are required.Administrative Responsibilities:Assist the Director of Operations and Principal with daily studio functions, including but not limited to:Assist the Director with maintaining the studio’s operations calendar, integrating professional and personal obligations. Includes day-to-day scheduling, and long-term scheduling based around projects, exhibitions, travel, and holidays.Oversee general studio email accountCoordinate with Director of Operations all lectures, talks, donations, writing requests of the Principal including processing associated paperwork, preparing and sending needed materials in a timely manner, and ensuring the Principal meetings the related deadlinesEnsure office organization: maintain orderly content surplus of office supplies, cleaning supplies, office snacks, and beverages for studio visitsGeneral studio administrationBooking travel and compiling itineraries Filing & data entry: upkeep organized and up to date digital and physical filesRun errands for the studio and personal, as neededAssist the Director with planning and hosting studio eventsWork collaboratively and coordinate with studio staff as needed Facilities Responsibilities:Assist the Director of Operations with the care, maintenance, and improvement of the studio building, appliances/equipment, and grounds, including but not limited to:Upkeep and maintenance of studio properties and facilitiesOversee the care and maintenance of the studio building and groundsMaintain systems for regular maintenance at the studio building, appliances, and equipmentTrack and support long term goals and improvements for studio facilities and infrastructural systemsSuggest improvements to studio’s systems and implement the changesWork with established studio vendors and contractors while also building new relationshipsSchedule and supervise repairs and outside contract workersAreas of responsibility include Fire and security, IT and phone, alarm systems, studio-wide data-management systems, supply and equipment storage, emergency protocol systems, general building maintenance, improvements and repairs (mechanical, electrical, plumbing, roofing, etc), fencing and gates, waste disposal, and utilitiesQualifications and Requirements:Bachelor’s degree preferredAt least two years of relevant experienceHighly-organized, detail-oriented, and self-directed problem-solver—but receptive to direction—in a deadline-driven environmentMust value collaboration and work well with a diverse teamSensitive to privacy and confidentiality concernsPersonable and outgoing personality for managing events and guestsProficient in Microsoft Office and Google DriveExperience with Adobe Creative Suite (Photoshop, Illustrator, InDesign, Bridge) is appreciatedSpanish language is a plusAbility to legally work in the US Physical Demands:Must be able to sit and stand for extended periods of timeMust be able to work in a studio environment with cement floorsAbility to lift 30+ lbs, unassisted, if necessaryOther Position Information:Compensation is commensurate with experience, ranging from $30.95 - $40.86/hourFull-Time, 35 hours a week, 5 days a weekStudio hours are Monday – Friday, 9am – 7pm; candidate must be open to working outside of normal business hours for special eventsReports directly to Director of OperationsNot a remote position, studio is located in Los Angeles, CA; special events may require offsite workBenefits include paid vacation, sick leave, and holidays, and health insuranceThe studio also includes parking, a full kitchen, snacks, and beveragesBIPOC and LGBTQIA+ candidates are strongly encouraged to apply
