We produce Spent (a podcast), The Forum (monthly live programming), and a weekly Substack, alongside recorded classes and limited one-on-one mentorship. We\'re a small, lean team doing substantive work, and we\'re looking for an Executive Assistant to keep that work running smoothly.This role is fundamentally about organization and execution. You\'ll work directly with the CEO to manage the systems, schedules, and details that keep a fast-moving media organization on track — protecting his time, translating loose plans into realistic timelines, and making sure nothing falls through the cracks.Core ResponsibilitiesOwn and maintain the CEO\'s calendar, scheduling, and key deadlinesPrepare briefing materials and agendas ahead of meetings, and capture follow-up notes afterwardTrack external deadlines — sponsorship calls, pitch timelines, speaking engagements, partner check-insTurn loose plans and new ideas into concrete, realistic timelines, flagging gaps or missed steps before they become problemsCoordinate podcast and Forum guest logistics — scheduling, asset collection, promo kits — and hand off fully prepared guests to our producerKeep shared infrastructure (Google Drive, Asana) organized across the teamCoordinate between the CEO, social media manager, and producer to keep deliverables alignedProofread and format internal and external documentsMaintain SOPs and shared templates as the organization growsSupport the weekly Substack publishing rhythm (formatting, scheduling, ensuring nothing slips) and the September 2026 premium tier rolloutYou\'re a Strong Fit IfYou\'re highly organized and detail-oriented, with a track record of managing calendars, schedules, and competing deadlinesYou can hold a system together while priorities shift — structured without being rigidYou\'re comfortable with ambiguity and can figure out what\'s needed without everything spelled outYou\'ve worked in a media, publishing, or creative environment and understand production rhythmsYou\'re comfortable using AI tools like Claude as part of your everyday workflowYou care about culture, creative work, or the arts — not as a credential, but as contextCompensation & Structure$2,700/month · Part-time, permanent · 20–25 hours/week · Remote.
