RIGHTS & REPRODUCTIONS COORDINATOR | NEW YORK, FULL TIME Jack Shainman Gallery seeks an experienced and motivated Rights & Reproductions Coordinator to oversee copyright requests for represented gallery artists. The position will work on a wide array of Rights & Reproductions requests, for projects ranging from movie sets and album covers to catalogues, textbooks and academic papers. This will include fielding and tracking initial inquiries, negotiating licensing fees, drafting contracts and invoices, and the dissemination of all published materials to gallery artists, as well as the management and organization of the internal gallery library and ephemera archive across multiple gallery locations. The ideal candidate will have a minimum of 3 years of experience working at a gallery (internships not included) with at least 2 years of experience in an archives department or working on copyright requests. Candidate must have a strong attention to detail, be highly organized, and have excellent time management skills. The Rights & Reproductions Coordinator is a crucial member of the Archives Department and reports to the Director of Digital Media. This position is full-time permanent Monday–Friday, and will operate between our two New York City locations in Chelsea and TriBeCa. ABOUT JACK SHAINMAN GALLERY Jack Shainman Gallery is a fast-paced, New York-based contemporary art gallery that represents over 40 established, mid-career and emerging artists working across a wide array of media, including painting, sculpture, photography, video and mixed media. The gallery assists represented artists to facilitate institutional exhibitions, large-scale projects, and catalogues both domestically and internationally, collaborating with museums, research institutions and publishers accordingly. The gallery was founded in 1984 in Washington, D.C. by Jack Shainman and Claude Simard (1956-2014). Soon after opening, the Gallery relocated to New York City where it has continued operations to this day. The gallery operates two exhibition spaces in New York City; its Chelsea location at 513 W 20th St opened in 1997, and its TriBeCa flagship at 46 Lafayette St opened in January 2025. Additionally, the Gallery converted a 30,000 square foot historic school in the upstate town of Kinderhook into an exhibition space in 2013, known and operated as The School. The three exhibition spaces work concurrently to present solo and group exhibitions that both introduce gallery artists to new audiences and give those artists space to present new bodies of work. RESPONSIBILITIES Responsibilities for this role include, but are not limited to: Rights & Reproductions - Screening incoming reproduction requests, tracking all requests with Monday.com, gathering more information about potential usage, running requests by artist liaisons or artists’ studios, and drafting license agreements- Negotiating licensing fees, requesting complimentary copies for artist and gallery archives, and drafting, issuing and filing invoices as needed- Creating master document of reproduction guidelines specific to each artist studio’s preferences- Maintaining up to date credit and courtesy line information for all represented artists- Securing external image rights for any publications produced by the gallery Library Management - Overseeing internal libraries (Reference, Catalogue and Press) across gallery locations- Tracking monograph inventory for all represented artists across all gallery spaces- Inventorying catalogues and updating publication information in the Library and Publications section of Artlogic- Negotiating discounted rates for all bulk book orders with publishing houses, and creating off-site book storage plans with Registrars- Tracking external books that include gallery artists, updating bibliographies and ordering books accordingly- Working with Gallery Assistants to disseminate complimentary external publications to represented artists Physical Archive Material Management- Overseeing artist ephemera archive and printed press materials across all gallery locations (including but not limited to newspapers, magazines, exhibition brochures, flyers, postcards, museum merchandise, etc.) sorting and safely preserving materials as needed QUALIFICATIONS - BA or MA required, with a specialization in Art History or Photography preferred- 2+ years of experience as an Archivist or Rights and Reproductions Assistant in a gallery or museum/institution (internships not included)- Fluency in Mac OS and Microsoft Office Suite required (Outlook, Teams, Word, Excel) - Proficiency in Adobe Photoshop, Bridge, and InDesign required, fluency preferred- Experience using an art database required, Artlogic experience strongly preferred- CMS/back-end website editing experience preferred
