What You’ll Be DoingResponsibilities include, but are not limited to:Visitor Experience & Front‑of‑House DutiesPromptly and warmly greets and welcomes guests to the gallery.Identifies themselves as a resource for any questions about the gallery, exhibition, artist, etc. for visitors, clients, and GAs.Liaises between visitors and callers and alerts Directors of all inquiries.Maintain excellent and thorough understanding of current exhibitions and convey to visitors the concepts behind each show.Exhibits exceptional communication skills; speaks confidently and intelligently about Pace, the art, and artists.Builds familiarity with current exhibitions at Pace and other galleries to best assist staff and inform visitors.Monitor and maintain the overall appearance and tidiness of gallery spaces, book displays, and communal areas.Assists with private viewings, special events, and openings.Demonstrates knowledge of emergency safety procedures and helps evacuate guests during emergencies.Administrative & Operational SupportPerform general administrative duties such as answering phones, filing, copying, ordering supplies, office organization, kitchen maintenance, errands, and mailings.Completes daily opening and closing protocols as listed in the Gallery Handbook and performs supplementary inspections throughout the day.Manage the Pace LA info email account and general voicemail, forwarding as necessary.Ensures library and gallery publications are stocked, organized, and inventory managed.Creates and maintains exhibition and sales documents and maintains sales logs for current exhibitions and private viewing areas.Create sales PDFs, email templates, and curatorial notes as needed.Develops process documents, best practices, and user guides for GA operations.Assists with upholding Gallery Standards.Manages supply, pantry, and hospitality orders.Treats sensitive information with discretion and confidentiality.Maintains a high level of sensitivity and confidentiality regarding personal and Gallery information.Coordinates incoming and outgoing art‑related shipments of books, sales packs, and photographs, including arranging FedEx and UPS shipments.Takes initiative to build working knowledge of internal gallery functions and staff roles.Exhibitions, Programs & Marketing SupportPrepares promotional materials for exhibitions per Marketing Department direction, including Exhibition Cheat Sheets, Dealer Books, and Checklists.Completes local outreach to support attendance for gallery programming at the direction of Exhibitions and Marketing teams.Liaises with Marketing and Communications teams to identify areas for assistance and support.Event Coordination & HospitalityCoordinates vendors and schedules for gallery events, including Pace Live, gallery openings, private openings, private events, and gallery dinners (on‑site and off‑site).Works with staff of other departments during special events or functions to support event execution.Team Collaboration & Interdepartmental SupportWorks directly with dealer offices to identify solutions and complete projects.Gets along well with GAs, Gallery Manager, Dealers, and staff across the gallery.Demonstrates flexibility and patience.Helps train, welcome, and support new GA team members and interns.Collaborates with staff of other departments to perform duties and support cross‑departmental needs.Acts as on‑site coordinator for the Los Angeles photography schedule and serves as Imaging Department liaison.
