As our Business Operations Manager, you will work directly with the founder as the right hand across strategy, operations, research, and project execution—helping translate ideas into action, manage priorities, create structure, and ensure nothing falls through the cracks. You’ll oversee day-to-day operations, scheduling, correspondence, freelancer coordination, and strategic initiative implementation. You will also help organize systems, maximize efficiencies, and evaluate both existing tools and rapidly evolving AI technologies to strengthen the business.This is a remote role with a three month contract and the potential to become permanent/hybrid in NYC. It is ideal for a mid-career professional Master\'s degree preferred, or 5 years of experience in the field; who thrives in a fast-moving, detail-oriented environment and handles sensitive information with absolute discretion. Candidates with a background in 20th Century Art—ideally with experience at an auction house, museum, gallery, or art institution—will be especially strong, though we are also open to those with operations experience in a full-service wealth advisory firm or family office supporting high-net-worth clients. Key ResponsibilitiesExecutive Support & OperationsServe as the Founder’s right hand, managing priorities, deadlines, follow-ups, and ensuring seamless day-to-day operations.Handle correspondence and scheduling with discretion, ensuring communication flows smoothly across clients, partners, and collaborators.Develop, refine, and manage systems and operational workflows—including databases, digital tools, and evolving AI technologies—to improve efficiency and structure.Prepare materials for meetings, presentations, and client updates, ensuring clarity, accuracy, and a high level of professionalism.Project & Initiative ManagementTranslate the Founder’s ideas into actionable plans by organizing tasks, setting timelines, and driving execution.Coordinate with internal team members and external specialists to ensure projects move forward on schedule.Manage freelancers and vendors, including sourcing, onboarding, scheduling, and quality oversight.Research & AnalysisConduct light research when necessary using available data sources.Support advisors by preparing offers, manage freelancers to prepare market summaries, and insight-driven reports using various art-world databases and tools.Confidentiality & DiscretionUphold the highest level of professionalism, discretion, and confidentiality in both personal and business matters.Operate with sensitivity and respect in a business where trust, privacy, and long-term relationships are core values.Qualifications & Background5 years experience in the field or Master\'s Degree preferred.Professional experience within an art institution, gallery, auction house, museum, art advisory firm, or—in certain cases—operations roles within wealth advisory or family office settings supporting high-net-worth clients.Exceptional organizational skills with the ability to bring structure, clarity, and systems to a fast-moving, multifaceted environment.Demonstrated strength in project management, operational problem-solving, and building or refining processes, workflows, or digital tools from the ground up.Excellent writing, communication, and presentation abilities, with a knack for distilling information and producing polished, visually coherent materials.Ability to manage multiple priorities, adapt to shifting timelines, and execute independently while maintaining utmost discretion.Experience with Artlogic, Art Systems, ArtBinder, Collector Systems, Hubspot, Slack, Notion, Airtable or Asana a plus.
