Working closely with the gallery directors, this role helps prepare basic sales materials, keeps library and client records up to date, and ensure the smooth running of the gallery. It is a great opportunity to learn how a collector-focused gallery works from the inside.ResponsibilitiesFront of House & Gallery Operations• Provide front desk coverage, greet visitors, and handle all incoming and outgoing calls in a warm, polished, professional manner• Serve as the first point of contact for clients, artists, colleagues, and vendors at all levels• Maintain the overall appearance of the gallery, reception, and communal spaces• Coordinate daily logistics, including incoming and outgoing mail, and ordering gallery supplies• With gallery directors, maintain the general gallery calendar• Scan and archive documents as needed• Update client and library records in ArtLogic database, and other databases as requestedSales & Client Support• Help draft and send outreach campaigns• Track offers, pricelists, and checklist requests to review in bi-weekly meetings• Format and update exhibition checklists and pricelists as needed• Provide sales support as needed for viewings, previews, and client presentations• Help director in preparing a bi-weekly Sales meetingExhibitions, Events & Marketing• Help compile guest lists for exhibition previews, openings, and dinners• Assist with event setup for openings, including catering, beverages, and room arrangement• Help the exhibitions associate prepare press packets• Pack and ship exhibition catalogues and announcements for gallery mailings• Track exhibition supplies (envelopes, cards, catalogues) and flag when stock is low• Help the Inventory Manager keep the gallery\'s website up to dateAdministrative & Financial Support• Help prepare expense reports, including filing invoices and recording expenses• Save and organize credit card receipts• Record exhibition and art fair expenses and help compile reports• Assist the Principal and his personal assistant as needed, including ordering supplies and scheduling travel or dinnersQualifications• Bachelor\'s degree, ideally in Art History, Arts Administration, or a related field• Prior internship or up to one year of experience in a gallery, auction house, museum, or office setting is a plus, but not required• Strong writing and communication skills and a friendly, professional manner with visitors and clients• A genuine interest in modern and contemporary art and a desire to learn• Organized, reliable, and detail-oriented, with the ability to juggle several tasks in a small-team environment• Comfortable with Microsoft Office and Google Workspace; willingness to learn ArtLogic and other gallery systems• Flexibility to work occasional evenings for openings and events
