James Fuentes Gallery, a New York and Los Angeles based gallery, seeks a full-time Registrar to oversee all registration, collections management, and operations functions across both locations. This is a senior, high-level position with broad ownership over the gallery\'s operations, reporting directly to gallery leadership.Primary Responsibilities:Oversee all aspects of gallery operations across the New York and Los Angeles locations, including onsite and offsite storage, shipping, and logisticsManage the gallery\'s database, creating records and tracking locations of objects (in-depth knowledge of ArtLogic a plus)Condition report and document artwork coming to and from the galleryCoordinate and oversee international, domestic, and local shipping and packing for clients, consignments, exhibitions, and gallery inventory, including negotiating vendor rates and contractsWork closely with the part-time art handler and sales team, as well as artist studios and foundationsCoordinate framing and conservation, managing vendor relationships and schedulingOversee installation and deinstallation of the gallery\'s exhibitionsGenerate shipping quotes for clientsManage crate release/receipt paperworkRequest COIs and manage insurance needs when necessaryKeep track of and manage consignments and loans, ensuring accurate tracking and timely renewalsCoordinate photography for the gallery\'s inventory and exhibitionsDevelop and manage production cost budgets, tracking and reporting on expendituresLead various gallery inventory projectsManage the sales logistics sheet to monitor sold inventory volume and status, for weekly review with leadershipPrepare art fair booth design layout and order booth lighting and detailsDraft and review on-approval agreements, consignment agreements, and vendor contractsIdentify and implement improvements to operational systems and workflows across the galleryPartner with gallery directors and the sales team on strategic planning for exhibitions, fairs, and inventory managementAdditional Skills:Advanced proficiency in Microsoft Word, Excel, and Adobe Creative SuiteAdvanced proficiency in Google Docs and SheetsEnjoys working with a team, while being highly capable of prioritizing and self-supervising as the sole owner of the roleStrong negotiation and vendor management skillsWorks well under pressure, on deadlines, and in a fast-paced environmentA strategic thinker who is equally comfortable with hands-on, detail-oriented workQualifications:BA or MA in Art History, Arts Administration, or a related fieldA minimum of 5–7 years of experience working as a registrar in a gallery setting, with demonstrated experience managing budgets and vendor relationships and operating with significant autonomyMust be highly organized with excellent written and verbal communication skills, including in-person, email, and telephone communicationCompensation commensurate with experience.
