The Executive Assistant will provide high-level administrative, sales, and operational support to the President of Pace Prints. This role requires exceptional organizational skills, attention to detail, professionalism, and discretion. The ideal candidate is proactive, poised under pressure, and thrives in a fast-paced environment where priorities can shift quickly. Key ResponsibilitiesManage complex scheduling, coordinate meetings, prepare correspondence, and handle confidential information with the utmost discretion.Maintain the President\'s calendar by scheduling meetings and appointments while keeping daily priorities and to-do lists up to date.Arrange domestic and international travel, including detailed itineraries, accommodations, transportation, reservations, and gallery fair schedules and appointments.Serve as the primary logistics point of contact for the President\'s sales, museum loans, and consignments.Manage invoicing for sales generated by the President, including shipping, billing, and logistical coordination.Prepare meeting briefings, background materials, presentations, and other supporting documents.Process expense reports, invoices, and budgets related to the President\'s office.Assist in planning and hosting gallery openings, collector events, VIP engagements, and other special events.Communicate with clients regarding inventory requests and follow up on the President\'s behalf.Monitor and track inventory for the 18th Street location, ensuring clear communication and coordination with the Resource Director and Registrar.Coordinate all art fair logistics, including schedules and shipping coordination forms.Prepare quarterly sales report presentations for artist foundations. Look up auction results and communicate changes to inventory prices to staff on behalf of the President.Maintain strict confidentiality, exercise sound judgment, and anticipate the President\'s needs to ensure the efficient day-to-day operation of the office.Complete documentation sheets for the print shop at 18th Street location QualificationsBachelor’s degree required; background in Art History, Arts Administration, or a related field preferred.2+ years of experience in an executive support or administrative role, ideally within a gallery, museum, auction house, or luxury organization.Exceptional written and verbal communication skills.Strong organizational abilities and meticulous attention to detail.Proven ability to manage multiple priorities under tight deadlines.High level of professionalism, discretion, and judgment.Proficiency in Office Suite, and CRM or inventory management systems (e.g., ArtLogic)Flexibility to work occasional evenings and weekends for events or art fairs.Position TypeSalary: $68,000Monday – FridayHours 9:30am – 5:30pmIn-person working from the 18th Street location
