JOB OPENING Position Title: Executive AssistantReports to: Executive DirectorStatus: Full-time Non-Exempt Aperture is a nonprofit publisher that leads conversations around photography worldwide. Established in 1952 to advance “creative thinking, significantly expressed in words and photographs,” Aperture champions photography’s vital role in nurturing curiosity and encouraging a more just, tolerant society.POSITION SUMMARYOversee daily administrative operations of the Executive office, including managing the Executive Director’s calendar, confirming meeting logistics, booking travel arrangements, corresponding with patrons, artists, Trustees, staff, and other constituencies as needed, maintaining files and contact lists, fielding telephone and email communications, and reviewing mail correspondence.Assist with Executive projects, including preparing presentations for meetings, speaking engagements, and other meeting materials. Submit reports and prepare proposals and presentations as needed, and where appropriate, facilitate the sharing of materials to other departments and staff.Maintain Executive Office expense budget, reconciling expenses, submitting monthly credit card reports, and tracking with Finance Department.Accompany and/or represent Executive Director at meetings and events when necessary, and assist with fundraising events, press conferences, book launches, and other professional gatherings.Liaise with other departments as part of information sharing and gathering on behalf of Executive Director, and attending meetings and taking notes as needed.Assist with special projects and other duties as assigned. QUALIFICATIONSBachelor’s Degree required and a minimum 3 years of professional experience supporting an executive, or managing multi-faceted administrative activities, preferably in an arts and culture organization.An interest in photography and contemporary art, and an understanding of Aperture’s mission and the ability to be an effective representative of the Executive Director.Outstanding organizational skills and ability to prioritize tasks.Excellent written and oral communication skills with a keen attention to detail and accuracy, and an aptitude for problem-solving.Ability to synthesize information quickly and assess priorities is essential. Ability to work both independently and in a team environment, with all levels of staff.Ability to handle sensitive information with the utmost discretion and professionalism.Advanced proficiency with MS Office suite, basic knowledge of CRM systems (Salesforce), and some presentation/design experience is a plus.
