The gallery is also known for championing a younger generation of artists and helping to raise their international profiles.Position OverviewLisson seeks a dedicated and highly organized Gallery Assistant to support the day-to-day operations of its New York galleries. The Gallery Assistant is a full-time, on-site role based in New York, NY. This position will assist in providing a vital professional front of house experience for all gallery visitors while supporting client engagement, exhibitions, events, publications, inventory management, and administrative operations across the gallery.The Gallery Assistant will work closely with teams across Sales, Operations, Marketing & Communications, Artist Liaison, Registrarial, and Exhibitions, gaining broad exposure to the workings of a leading international contemporary art gallery.Responsibilities:Front of House Management● Being the lead person for reception duties for Lisson in New York● Serving as a knowledgeable ambassador for Lisson Gallery, its artists, exhibitions, and programs.● Creating a welcoming, professional, and memorable experience for all visitors, collectors, artists, and institutional partners.● Answering phones in an efficient and friendly manner, providing a high-quality service● Maintaining reception, visitor areas, and viewing rooms to the highest presentation standards● Ensuring exhibition materials, checklists, and press releases are available and up to date● Coordinating VIP visitor arrivals and communicate with gallery staff● Tracking and recording visitor attendance and visitor feedback● Supporting visitor research and CRM updates where appropriate● Maintaining daily visitor reporting and gallery activity summaries● Other general ad hoc project support work as required e.g., maintaining records of cold calls/walk ins, updating face recognition docs, important client docs, etc.Viewing Rooms & Sales Support● Deputizing for sales staff with visitors as appropriate● Ensuring artwork checklists, price lists, fact sheets, publications, and related materials are available and accurate● Ensuring reception, viewing rooms, and gallery areas are presentable and informative well in advance of Private Viewings● Updating ArtBinder and related sales materials● Assisting with sales administration and client-facing materials● Supporting tracking of inquiries, walk-ins, and sales referralsGallery Operations & Administration● Organizing couriers / shipping / transportation where required● Ordering and maintaining office, hospitality and gallery supplies● Liaising with IT and external vendors on any reported issues● Updating mailing list from reception/exhibition books● Maintaining internal databases and administrative records● Updating the inventory database with regard to sales and reservesExhibitions, Events & Programming● Arranging for general gallery upkeep ahead of installation/exhibition prep● Supporting exhibition installations, openings, and deinstallations● Coordinating exhibition materials, signage, and vinyl production● Assisting with gallery events, private views, dinners, and special programming● Supporting hospitality preparation for client visits and events● Attendance at key gallery events, when required● Reception cover at gallery Private Viewings and support for/attendance at other gallery events as required● Maintaining museum memberships and monitoring relevant exhibition and institutional calendars● Works closely with Sales, Operations, Marketing & Communications, Registrar, and Artist Liaison teams to support gallery-wide initiativesPublications & Bookshop● Ordering catalogues to ensure appropriate stock levels, including for upcoming gallery exhibitions● Ensuring that the gallery is stocked with relevant sales catalogues and publications● Introducing and monitoring allocation of complimentary catalogues● Ensuring that new publications are regularly sent to major international museums/libraries● Working on project to make best use of catalogue archive/stored catalogues● Managing offsite storage inventory of catalogues● Managing gallery bookshop and catalogue sales through Square, Shopify, and related platforms, coordinating with members of Marketing & Communications and Sales to ensure that proper packaging is ordered for scheduled mail-outs● Working alongside the London front desk team to manage international shipments● Managing bookshop email account ensuring a high level of friendly and professional customer service- - - - - - - - - - - -Key Skills & Experiences:● Passion for and strong knowledge of contemporary art and the global art market● 1–3 years of experience within a gallery, museum, auction house, cultural organization, luxury client service, hospitality, or related environment preferred● Positive, proactive, can-do attitude, and solutions-oriented approach● Excellent interpersonal and communication skills balanced with professionalism and diplomacy. Strong written and verbal communication skills.● Highly organized & efficient with exceptional attention to detail● Excellent organisation & prioritization skills● Ability to manage a personal busy workload● A calm and friendly manner, especially when under pressure● Proficiency in Microsoft Office and Mac operating systems● High level of IT skills: Experience with Salesforce, ArtBinder, Shopify, Square, or comparable database and CRM platforms is a plus.● Physical Requirements: This role may occasionally require lifting, carrying, or moving gallery materials and packages weighing up to approximately 40 pounds, as well as standing for extended periods.
