Operations AssociateReports to: Operations ManagersLocation: NYC Hybrid / Onsite as neededSchedule: Full-Time (with extended hours during show periods)Position OverviewThe Operations Associate plays a critical support role within the SPACE operations department, working directly with the Operations Team to execute the day-to-day logistics of high-end art fairs and design events. This role is responsible for translating plans into action — ensuring schedules, vendors, staff, and onsite activity stay aligned and on track.This is a hands-on, fast-paced role ideal for someone who is highly organized, detail-driven, and thrives in a dynamic production environment.Primary ResponsibilitiesDay-to-Day Operational Execution· Serve as a key point of execution for daily operational tasks, under the direction of the Operations Team.· Implement production schedules, vendor timelines, and internal task lists.· Track deliverables and follow up with vendors, venues, and internal teams to ensure deadlines are met.· Assist with logistics coordination including deliveries, labor schedules, floor access, and equipment planning.Onsite Event Management· Support onsite operations during load-in, show days, and load-out.· Help manage vendors, labor, and floor activity in real time.· Assist with troubleshooting, crowd flow, and compliance with venue rules.· Act as a steady, solution-oriented presence on site for the SPACE team.Communication & Team Support· Maintain clear communication with the Operations Team regarding progress, risks, and issues.· Relay instructions clearly to vendors and staff.· Support the larger SPACE team by answering questions, helping solve problems, and maintaining a calm, professional demeanor under pressure.Documentation & Planning Support· Assist with production documentation including schedules, checklists, exhibitor manuals, and vendor instructions.· Support CAD plan updates and layout revisions as needed (depending on experience level).· Help ensure internal systems and project files remain current and accurate.Professional Expectations· Demonstrate reliability, accountability, and attention to detail.· Remain flexible and responsive in a fast-moving environment.· Maintain professionalism, composure, and a team-first mindset during stressful show conditions.· Take ownership of assigned tasks and follow them through to completion.Qualifications· 1–4+ years of experience in event production, operations, hospitality, or logistics.· Strong organizational and time-management skills.· Excellent communication and interpersonal skills.· Ability to travel out of state and to work extended hours during event weeks is required. Including evenings and weekends when needed.· CAD experience (Vectorworks, AutoCAD, or similar) is a plus but not required based on level.Success in This Role Looks Like· The Operations Associate reliably executes plans created by leadership.· Vendors and staff feel supported, informed, and well-managed.· The Operations Team can delegate with confidence knowing tasks will be handled correctly.· Events run smoothly because details are anticipated, tracked, and addressed early.
