Established Upper East Side gallery looking for a full time bookkeeper.Financial Controls :Oversight of multiple company accounts using QuickBooksManage daily banking activityManage accounts payable and accounts receivable processesAll data entry into the accounting systemManage and approve client billable expenses for proper identification and invoicingFinal approval of all expense reports Invoice clients as per contract Download and categorize all credit cardsReconciliation of all bank accounts and credit cardsManaging FX when neededPrepare cash balance statements for management on a weekly basis Assess cost allocation methodologiesOversee all IT, both hardware and softwarePay sales tax, prompt tax and PTET for a multiple entities and statesPreparing and filing financial documentsAssist with annual financial statement audit by outside accountantsAssist with preparation and review of all state regulatory filingsReview internal control procedures and implement best practicesManage emails and vendor relationshipsManage contracts, W-9s and 1099s for independent contractorsInventory managementWork collaboratively with Family officeOperations:Liaise with employees and manage outsourced tech support on IT software, hardware and policiesManage all corporate software accounts such as Gmail, Slack, Dropbox, ArtLogic, etcMaintain inventory of all hardware in conjunction with IT firmQualifications:5+ years bookkeeping experience (or equivalent)Experience working for an art gallery is desirableKnowledge of ArtLogicProficiency in ExcelProficiency with QuickBooks EnterpriseStrong attention to detailDemonstrated ability and interest in strategic thinkingThe ability to communicate complex data in a clear wayExceptional organizational skillsThe ability to prioritize projectsCustomer service skillsExcellent data entry skillsExcellent time management and deadline managementAbility to work respectfully and productively across departmentsInterest in learning new skills and participating in new projectsAbility to handle and maintain confidential information
