Our gallery is seeking a personable and organized Gallery Assistant to manage the front desk and perform various office-related administrative tasks. The candidate must be able to efficiently multitask while working in a busy front desk environment. Attention to detail, excellent communication, and problem-solving skills are required to excel in this position.Responsibilities:- Greet incoming visitors, communicate exhibition information, and answer questions about artwork and programming- Answer and redirect phone calls to staff and take messages- Oversee daily receipt and sending packages with couriers, FedEx, UPS, and USPS- Check-in gallery appointments and liaise with art delivery personnel and other vendors- Oversee front desk tidiness and daily opening/closing procedures.- Receive and distribute mail and packages throughout the gallery- Liaise with event staff and vendors for gallery openings and preparation for on and off-site special events (dinners, talks, receptions, book signings etc.)- Assist with gallery openings and preparation for on and off-site special events (dinners, talks, etc.)- Assist with travel arrangements and accommodations for staff and artists as needed- Manage gallery penthouse apartments for visiting artists or staff as needed- Maintaining physical and digital archive for press and the gallery-Various additional tasks, as neededRequired Skills & Experience:- Bachelor’s Degree in a related field- Prior experience in a museum, gallery, or other arts institution- Knowledge of contemporary art and gallery represented artists- Excellent written and oral communication skills- Self-starter with the ability to multitask and problem solve - Polished demeanor - Proficient in InDesign, Photoshop, Microsoft Office Suite, Apple devices and G Suite- Familiarity with File Maker or similar art database systemThis is a Full-time position, Tuesday - Saturday, 9:45 am - 6:00 pm.Summer hours are Monday-Friday, 9:45 am-6:00 pm; Regular hours, resuming in September, are Tuesday-Saturday, 9:45 am -6:00 pm.Benefits:-Medical, Dental and Vision - 70 percent of the insurance premium covered by the gallery-Paid vacation days (11 days annually, prorated during first year based on start date)-Paid sick time (5 days frontloaded annually, prorated during first year of employment based on start date)-Paid holidays -Participation in a 401K Plan (after 1 year of employment)-Pre-tax Commuter Pay Rate:$17.35 / hr.To Apply:Please submit your resume, cover letter, and 3 professional references to galleryresume130@gmail.com with the subject line “Gallery Assistant” Only qualified candidates will be contacted.
