Karma is a gallery specializing in modern and contemporary art with locations in New York and Los Angeles. Karma champions a multigenerational roster of artists and estates active in the development of twentieth and twenty-first century art. We are seeking a creative and experienced Sales Assistant to support two senior-level Directors. Key tasks include managing complex calendars, booking travel, expense reporting and approvals, sales and administrative support. The ideal candidate will have prior experience supporting busy sales executives within high-value gallery, auction house, or creative industries, will demonstrate exceptional organizational and communication skills, sensitivity, and have a genuine interest in sales and/or artist management. Based out of our Chelsea gallery, this Tuesday through Saturday role will work closely and alongside a principal Sales Assistant to ensure full scope of support. ResponsibilitiesProactively manage high-volume calendar requests, mitigate conflicts, send reminders and ensure meeting preparation. Screen and prioritize all internal and external correspondence, drafting and issuing vetted communications on behalf of the Directors.Coordinate domestic and international travel for the Directors, including key staff and artists, managing logistics, preferences, visas, providing thorough itineraries.Provide accurate and prompt sales support, drafting invoices, processing payments, and ensuring the successful final delivery of artwork.Act as a critical inter-departmental communication bridge to ensure the Directors maintain continuous awareness of gallery workflow and critical organizational developments.Oversee and reconcile business and travel expenses, compiling comprehensive documentation and submitting timely monthly reports.Manage the details of the Director’s private art collection and ensure accuracy of inventory records.Assist with tracking key global auctions, handling registration for approved bids, and integrating auction events into the calendar.Maintain an in-depth knowledge of the gallery’s clients, collectors, curators, and gallery artists as well as contemporary art news, openings, and events.Handle highly sensitive and proprietary information across all professional and personal matters with the utmost discretion and integrity.Flexibility in working hours to align with the Director’s schedule, with ability to provide support for openings and occasional events. Qualifications & RequirementsA minimum 2 years of experience providing sales and administrative support in a contemporary gallery or auction house setting.BA or MA in Art History, Arts Administration, or a related field.Comprehensive understanding of gallery/auction house operations and the primary/secondary art markets. Knowledge of key collectors and contemporary art news.Highly detail-oriented and organized, with excellent written and verbal communication skills.Possess emotional intelligence, sensitivity and discretion, proactive and positive demeanor. Experience dealing with collectors, vendors and high-end clients a plus.Expertise in Microsoft Office, Zoom, and Google business applications. Experience with Arternal or a similar art database.Demonstrated readiness to work outside of standard business hours, including weekends and global time zone accommodation.
