Job Description: Dental Practice Team Leader/Office Manager
Job Summary:
The Team Leader/Office Manager is responsible for the overall management and supervision of all business aspects within the dental practice to ensure smooth operations, exceptional patient care, and the achievement of organizational goals. This position oversees daily operations, staff development, compliance, and practice growth. The Team Leader works closely with the dentist(s) and staff to foster a collaborative, professional, and efficient work environment while upholding a system of accountability.
Essential Functions:
- Practice Growth & Marketing:
- Stimulate new patient growth through sales, marketing, and promotional programs.
- Monitor and implement strategies to ensure production and collections goals are met or exceeded.
- Analyze key performance metrics (KPIs) and forecast results to align with organizational objectives.
- Staff Recruitment & Development:
- Recruit, hire, onboard, train, and retain staff.
- Develop and lead team members through ongoing training and performance management.
- Conduct regular staff meetings, daily huddles, and foster open communication within the practice.
- Meet with practice owner and dentists regularly to address concerns and collaborate
- Operational Management:
- Manage front office operations, including insurance verification and patient interactions.
- Ensure effective scheduling to maximize patient flow and payroll hours.
- Maintain compliance with employment laws, HIPAA, OSHA, and other regulatory requirements.
- Manage practice financials, including balancing financial data, passing audits, ensuring timely deposits, and protecting petty cash funds.
- Oversee the practice’s managed care components, including scheduling, fee schedules, and collections.
- Patient Experience & Satisfaction:
- Create and maintain an exceptional patient experience through teamwork and attention to detail.
- Address and resolve patient concerns to ensure satisfaction.
- Minimize no-shows and cancellations, aiming for 10% or less.
- Utilize Dental Intelligence Patient engagement software to efficiently book schedule and facilitate patient communication
- Leadership & Communication:
- Lead by example with a professional image, strong communication skills, and a positive attitude.
- Build and nurture positive relationships with the dentist(s) and staff to foster collaboration.
- Conduct monthly meetings with the dentist(s) to address concerns and maintain open communication.
- Compliance & Training:
- Ensure policies and procedures are followed and that staff is well-trained in current processes.
- Hold the team accountable for completing projects, job duties, and organizational deliverables.
- Complete required continuing education and ensure the team does as well.
- Billing & Financial Oversight:
- Collaborate with billing company personnel, holding regular meetings (every 1-2 weeks) to ensure smooth operations.
- Manage end-of-month tasks, including payroll, month-end close, staff schedules, and bill payments and collaborate with accountant
- Inventory & Maintenance:
- Oversee ordering of supplies and ensure proper equipment maintenance protocols.
- Performance Tracking:
- Work with consulting team and leadership to track KPIs and monitor performance metrics.
- Utilize Dental Intelligence to track A/R and metrics
Key Performance Indicators (KPIs):
- Office production and collections goals are consistently met or exceeded.
- Minimized no-shows and cancellations (10% or less).
- Daily follow-ups are 100% completed.
- Effective delegation and staff accountability systems are in place.
Qualifications:
Experience:
- Dental background is highly preferred.
- Must have experience with Dentrix Dental Software.
- Minimum of 3-4 years of experience, targeting 5+ years of leadership experience.
Education/Certification:
- High School Diploma or equivalent (required); degree (strongly preferred).

Job Type: Full-time
Pay: From $35.00 per hour
