Job Overview
We’re looking for a capable, steady, and detail-oriented person to coordinate the daily flow of orders, payments, and warehouse operations.
Your focus will be on ensuring that every order is processed, packed, paid, and shipped smoothly, and that the warehouse is well organized. You’ll work closely with our warehouse staff and traveling salesperson, oversee accuracy in payments and refunds, and help maintain an efficient, well-run operation.
This role blends fulfillment, customer service, and light office administration — ideal for someone who enjoys keeping systems organized and people aligned.
Order Fulfillment & Warehouse Coordination
- Oversee daily order processing and packing for retail and wholesale orders.
- Print pick lists, shipping labels, and invoices; verify order accuracy.
- Maintain warehouse organization and restocking flow between front and back rooms.
- Train and coordinate other packing staff to maintain accuracy and efficiency.
- Review the daily order grid to ensure all orders are complete and customer comments addressed.
Payments, Credits & Customer Support
- Problem-solve order payment issues and ensure all balances are collected.
- Process refunds, issue credits, and record adjustments
- Communicate with customers regarding order status, shortages, or corrections.
- Follow up on overdue invoices and assist with regular bank deposits.
System Oversight & Administration
- Monitor the flow of orders between Magento and QuickBooks to ensure all data transfers correctly; investigate and resolve any export exceptions or payment discrepancies.
- Maintain consistency across systems — order status, tracking, payments, and credits — so that customer and accounting records always match.
- Approve new customer accounts daily and confirm their correct setup in the system.
- Prepare and submit simple payroll reports twice a month.
- Coordinate with outside vendors such as cleaners, maintenance, or supply services as needed.
- Keep the office side of operations organized — filing, supplies, schedules, and other routine administrative needs.
Inventory & Coordination
- Track low-stock items, reconcile counts, and maintain system accuracy.
- Support periodic physical counts and restock planning.
- Coordinate with the traveling salesperson on special or pending orders.
- Ensure accuracy of product descriptions and photos..
- Process shipments of new products
Job Type: Full-time
Projected Total Compensation: $52,000.00 - $66,000.00 per year
