Van de Weghe is seeking a highly organized, visually literate, tech savvy Gallery Assistant to oversee the daily operations and public-facing presence of the gallery. This role is central to the functioning of the business and requires someone who can seamlessly manage administrative, logistical, and visual responsibilities.This is a full-time, in-person position based on the Upper East Side. Hours are Monday–Friday, 10am–6pm, with flexibility required for select weekends, events, and art fairs.Core ResponsibilitiesAdministrative & Operational SupportServe as the primary point of contact for incoming calls, correspondence, and general inquiriesOversee day-to-day office operations including office and gallery supplies, mailings, catalogue distributionMaintain and update artwork and client records using the ArtLogic database Coordinate with IT support for gallery and related needsProvide direct support to senior leadership on gallery, travel, and select personal matters with discretionHandle errands and time-sensitive requests efficiently and professionallyOversee ordering and inventory of office supplies, books, binders, tools, and kitchen itemsMarketing, Publications & Visual AssetsCreate polished, client-facing artwork presentations using Canva or similar platformsProduce Photoshop mock-ups, image edits, and digital presentationsManage post-production workflows including editing, cropping, archiving, and uploading imagesDevelop and execute the gallery’s Instagram content, stories, and overall social media strategyUpdate and maintain the gallery websiteMonitor and respond to messages via Instagram and general gallery inboxLead documentation projects, including comprehensive photography initiativesAssist with preparation of brochures, catalogues, and written materialsDraft and coordinate marketing emails and announcements for art fairs, exhibitions, and gallery programmingCoordinate all photography of artworks at gallery. Liaising with photographers and ensuring correct archival process. Compile and scan reference literature for works Organize and digitize all literature Print and prepare labels, signage, and materialsOccasional on-site support at art fairs, including installation, de-installation, and booth supportLibrary & Archive ProjectsOrganize and maintain the gallery library and archivesTrack and mark auction cataloguesAssist with major publication and book projects in collaboration with gallery leadershipQualificationsPrior experience in a gallery, museum, or related art-world environmentBachelors degree in Art, Art history or related field Ability to work effectively in a fast-paced, deadline-driven settingStrong organizational skills and exceptional attention to detailVisual literacy and comfort working with high-value artworksProficiency in Canva, Photoshop, and general digital tools (ArtLogic a plus)Photography experience is beneficial (although not essential) Ability to multitask, prioritize, and work both independently and collaborativelyProfessionalism, reliability, and sound judgment are essential
