Bookstein Projects is seeking an organized and energetic Gallery Assistant to join its team, working alongside our Partners across all areas of the gallery’s daily operations. The ideal candidate will possess a strong interest in both contemporary and historical art, exceptional attention to detail, and the ability to manage multiple tasks with accuracy and efficiency. This is a front desk, client-facing role, which demands a poised and professional demeanor in all interactions, albeit welcoming visitors, liaising with artists, and collectors, or communicating by phone and email. This position is an excellent opportunity for a motivated entry-level individual seeking to get a start in the art world and make meaningful contributions to the functioning of a commercial art gallery. The ideal candidate is highly organized and comfortable working in a client-facing environment. A background in art history, excellent writing and communication skills, and a proactive, can-do approach are essential.Key ResponsibilitiesAdministrative SupportOversee the reception area maintaining checklists, publications, guest book, etc.Monitor and maintain general gallery email accounts and calendarsOrganize and process incoming and outgoing mailOrder and restock office and grocery suppliesFront Desk OperationsOpen and close the gallery, maintaining a polished and professional appearance throughout public-facing spacesGreet and assist visitors, collectors, artists, and institutional contacts with professionalism and discretionAnswer, screen, and direct incoming phone calls and inquiriesDatabase ManagementUpdate and maintain digital mailing listsCreate, organize, and maintain both contact and artwork records in ArtBaseEvent and Team SupportProvide on-site support for gallery openings and special events Run general errands and provide operational support as neededQualificationsBachelor’s degree in Art History or Arts Administration requiredStrong organizational skillsExceptional attention to detailExcellent written and verbal communication skillsProficiency in Microsoft Office Suite, Adobe Acrobat, and Adobe Photoshop; familiarity with PC platformsExperience with ArtBase preferredProfessional and calm demeanor when interacting with clients, artists, and visitorsAbility to work independently and collaboratively within a very small teamFlexibility to work occasional evenings and weekends for openings and special eventsAbility to lift up to ~25 lbs when handling shipments and exhibition materialsDiscretion is paramountThis position is part-time and in person. Gallery hours are Monday through Friday, 11:00 AM - 6:00 PM, with occasional additional hours required for openings and special events.
