Job Title: Registrar – Fine Art Gallery (Miami) Location: Miami, FL – Full-time, On-site Reports To: Gallery Director / Head of OperationsOverviewWe are seeking a highly organized Registrar to join our Miami team and support the gallery’s international operations. This role is central to coordinating logistics, documentation, and the safe movement of artworks. The Registrar will work closely with colleagues in London, New York, and across Europe to ensure smooth global collaboration.Key ResponsibilitiesMaintain accurate artwork records, provenance, locations, and shipment details in Artlogic and other internal systems, utilizing AI tools where appropriate.Receive, verify, and archive condition reports from shippers and institutions, ensuring artworks are in good condition and documentation is properly stored.Coordinate domestic and international shipping and logistics, including packing, crating, customs, insurance, and scheduling.Oversee artwork movements for exhibitions, art fairs, consignments, and sales, ensuring safe handling and timely delivery.Draft and track loan and consignment agreements, and support post-sale logistics.Manage insurance coverage and compliance for artworks in storage, transit, and on display.Collaborate daily with the gallery’s global team to align schedules, share documentation, and support international projects.Skills & QualificationsBachelor’s degree in Art History, Museum Studies, Arts Administration, or a related field.Minimum 1 year of registrar or logistics experience in a gallery, museum, or fine art shipping context.Knowledge of international shipping, customs, packing standards, and art handling best practices.Strong organizational skills, exceptional attention to detail, and the ability to manage multiple priorities simultaneously.Proficiency with collection databases (e.g., Artlogic, ArtBase) and standard office tools.Excellent communication skills and experience working across international teams.Fluency in English; Spanish or French is an advantage.What We OfferThe opportunity to work with world-class artworks in a dynamic, globally connected gallery.Daily collaboration with international teams and room for professional growth.
