Job Summary:
The Executive Assistant/HR Office Manager plays a vital dual-role within the Human Resources department, serving as both a key operational and administrative partner. This position primarily supports the Chief Human Resources Officer (CHRO) and senior HR leadership, ensuring the seamless execution of departmental initiatives and daily operations.
Key responsibilities include:

Executive Support: Manages complex calendars, schedules high-level meetings, coordinates travel arrangements, and oversees logistics for HR leadership retreats and offsites.

Office Management: Oversees the daily operations of the HR office, including supply ordering, mail distribution, and facilities requests. Ensures a well-organized and efficient work environment.

Confidential Communication: Handles sensitive information related to organizational strategy, personnel matters, and labor relations with discretion and professionalism. Prepares, edits, and maintains HR-related documents and communications.

Departmental Coordination: Serves as the central point of contact for internal and external inquiries, triaging requests and escalating appropriately. Coordinates department-wide initiatives, events, and projects.

Financial Oversight: Monitors budget tracking and expense reporting for HR functions and initiatives.

Organizational Awareness: Maintains current knowledge of organizational developments relevant to the HR department.

Onboarding Support: Supports the onboarding and offboarding processes for HR personnel.

Supervision: May supervise administrative staff.

Minimum Qualifications:
Bachelors degree and a minimum of 5 years of experience in executive support, office administration, or HR operations. Demonstrated ability to manage priorities and handle multiple tasks under tight deadlines with minimal supervision. Strong computer skills, including Microsoft Office (Outlook, Word, Excel, PowerPoint), and familiarity with video conferencing tools (e.g., Zoom, Teams). High degree of professionalism in both written and verbal communication. Proven ability to maintain confidentiality and use discretion in handling sensitive HR matters. Strong interpersonal skills and the ability to build relationships across all levels of the organization.
Preferred Qualifications:
Degree in Human Resources, Business Administration, or a related field. Experience supporting senior executives in a Human Resources, Legal, or C-suite setting. Basic understanding of HR compliance requirements and labor laws. Experience in managing projects or events with cross-functional stakeholders.
