Role Description - Southampton, NYBlackBook Art Gallery is seeking a Operations/Research Assistant to support the Southampton gallery’s sales, outreach, and operations This role is focused on researching and creating materials used for client outreach and sales development, maintaining the gallery’s artwork inventory records, contact databases, and email lists. The position will be part-time and can be either in-person, hybrid, or fully remote depending on availability and mutual fit. Some on-site work in Southampton, NY would be ideal, along with remote research and administrative work.The ideal candidate is highly organized, detail-oriented, and proficient in Artlogic, auction databases, spreadsheets, and CRM systems, and capable of producing clear, polished research materials on artists, artworks, auction records, and market comparables.Key ResponsibilitiesArtwork, Artist & Market ResearchConduct research on artists & artworks, including exhibition history and provenance, gallery representation, and market context.Research auction results, comparable sales, gallery pricing, exhibition history, and relevant market benchmarks for individual artworks.Use Artlogic to create fact sheets, artwork summaries, and market notes to support sales conversations.Prepare comp sheets for individual artworks, including relevant auction comparables, retail context, pricing rationale, and key market takeaways.Support the development of polished sales materials for private outreach, presentations, and client follow-up.Database ManagementMaintain and organize the gallery’s Artlogic database, including artwork inventory, client notes/records, and Artlogic materials such as artwork fact sheets and exhibition checklists. Research artists and artworks for sales outreach, including researching auction databases, art fair records, and collecting other information on artwork pricing for private salesSegment contacts for targeted outreach, including collectors, art advisors, press, Hamptons contacts, institutional contacts, and event invitees.Administrative & Gallery SupportAssist with organizing digital files, folders, image assets, sales materials, contact lists, and exhibition documents.Support exhibition-related administration, including checklists, labels, price lists, and internal reference materials.If possible, provide occasional on-site support during exhibitions, private viewings, or events as needed.QualificationsBachelor’s degree in Art History, Arts Administration, Fine Arts, Museum Studies, or a related field preferred, or equivalent professional experience in the arts sector.Strong organizational skills and exceptional attention to detail.Experience working with Artlogic, CRM systems, spreadsheets, inventory systems, or gallery databases.Proficiency with Google Workspace, Excel/Google Sheets, email platforms, and digital file organization.Familiarity with Artnet, Artsy, auction databases, gallery websites, artist CVs, and other art-market research tools is a plus.Ability to conduct thoughtful, accurate research on artists, artworks, provenance, auction records, and market comparables.Strong writing skills, with the ability to create clear artist summaries, artwork descriptions, fact sheets, and sales-support materials.Comfort working independently, managing multiple priorities, and maintaining organized systems.Ideal CandidateThe ideal candidate is someone who enjoys the behind-the-scenes systems that make gallery sales and client outreach successful. They are meticulous with data, thoughtful with research, and able to turn artwork and market information into useful, polished materials for the founder and sales team. They should be comfortable moving between administrative database work, art-market research, inventory organization, and sales-support projects in a fast-paced gallery environment.
