Gallery Administrative Assistant - Position OverviewWe are seeking a highly organized, detail-oriented, and personable Administrative Assistant to support the daily operations of a dynamic art gallery. This role combines administrative coordination, client services, event support, and communications in a fast-paced creative environment. The ideal candidate is professional, proactive, and passionate about Modern and Contemporary art and cultural programming.Key ResponsibilitiesManage front desk operations and serve as a point of contact for visitors, collectors, artists, and vendorsAnswer phones, direct inquiries to the correct team member, respond to and/or forward email inquiries to keep our lines of communication organized and professionalCoordinate gallery calendars, meetings, appointments, and exhibition schedulesCreate and update inventory records, artwork documentation, and database systemsPrepare consignment agreements, shipping forms, and sales documentationAssist with exhibition preparation, installation logistics, and opening receptionsSupport marketing efforts through website updates, newsletters, and social media coordinationOrder office and gallery supplies and liaise with vendors and service providersAssist with research, grant applications, and special projects as neededEnsure gallery spaces remain organized, welcoming, and presentation-readyQualificationsBachelor’s degree or equivalent experience in arts administration, fine arts, or a related field preferredExcellent written and verbal communication skillsStrong organizational and multitasking abilitiesProficiency in Microsoft Office, Adobe Acrobat and Photoshop, Apple softwareFamiliarity with social media platforms and basic marketing toolsAbility to work occasional evenings or weekends for exhibition eventsKnowledge of Modern and Contemporary art and gallery operations is a plusPreferred Skills1 year administrative or gallery-related experience preferredExperience with art inventory software such as ArtLogic, Artnet, Artsy preferredBasic graphic design skills using Canva or Adobe Creative SuiteCustomer service and client relations experienceStrong attention to detail and discretion with confidential information Compensation & Benefits· Competitive hourly rate or salary based on experience
