Lévy Gorvy Dayan (London) Limited is seeking an Associate Director who will play a key role in the day-to-day operations and administration of the London Gallery, with a strong focus on logistics, exhibition delivery, and cross-functional coordination. This is a hands-on role requiring an individual who can own and execute complex projects end-to-end, manage multiple stakeholders, and ensure the smooth running of the gallery in a fast-paced commercial environment. The Associate Director reports to the Senior Partner, Europe.RESPONSIBILITIES1. Exhibitions, art fairs and logistics● Manage the London master calendar for exhibitions, fairs, auctions, museum events and other art industry happenings of note● In collaboration with Senior Partner and finance, create and track the exhibitions P & L, sourcing more favourable quotes from each vendor● With the Programming and Content Manager and sales assistant, create meeting agendas and track project deadlines● Oversee all stages of exhibition and art fair coordination from install to deinstall, including coordinating art handlers, shipments, facilitating customs formalities, imports and exports● Plan and organise special events, outsourcing materials, supplies, vendors and hiring necessary additional staff .● Manage all aspects of artwork logistics, including: i. International and domestic shipping ii. Customs procedures (TA, imports/exports, VAT considerations) iii. Storage coordination2. Gallery Administration● Daily OperationsEnsure the gallery is fully open and ready for visitors at the beginning of each dayWarmly greet all visitors and assist them as neededManage the main gallery telephone line and transfer as needed● Building and office managementOversee building maintenance, liaising with contractors to resolve any facilities issues promptly Procurement: Order and keep stock of office, kitchen and gallery supplies as and when neededRequest, keep track of and review supplier invoices with Senior Partner for approval and liaise with finance department for paymentLiaise with finance department and external accounting firm to track UK team budget and spending● Staff managementMaster schedule manager to ensure the gallery is fully staffed and coverage is identified for special events, weekends and holiday seasonsWith Senior Director, Global HR, review candidates and training schedules for new staff, as well as train and manage all gallery volunteers and interns3. Artist/Estate liaison● Assist artist and estate management (if requested)● Assist Senior Partner with artist development through updating artist profiles and reviewing artist strategies4.
