Events/ Sales
- Respond to all guest inquiries (including phone, email, in-person, Cvent, Eventective, and WeddingPro) promptly and track guest info, contact method, and booking status in Inquiry Log.
- Create and update catering menus and packages.
- Keep all information in Caterease software up-to-date: client account information, menus, and packages.
- Create BEOs for each event, tracking the status of all events throughout the booking funnel. BEOs should list all information relevant to the event.
- Maintain contact with guests throughout the booking funnel up to the execution of the event, providing handoff between MOD and guest for high-profile events such as weddings.
- Collect necessary deposits and maintain deposit Log.
- Create event-specific print materials, including limited menus, seating charts, and name cards.
- Provide up-to-date BEOs at weekly meetings for all events.
- Create floorplans for events at the Conference Center with setup instructions for maintenance and housekeeping.
- Provide final invoices to Tavern Management with payment information provided by guests ahead of all events.
- Review final payments and log in Caterease. Resolve any disputes with Tavern Management and;/or guests.
- Follow up with guests and resolve any criticism or complaints, informing relevant department heads.
- Coordinate with entertainment/”other” vendors for in-house events – schedule load-in times, arrange for staff meals (if applicable), arrange and log on BEOs payment rates and terms.
- Quote and coordinate rentals as needed with various vendors. Arrange for pick-up/drop-off and inform relevant department heads.
- Quote and coordinate outside goods (i.e. cakes/pastries) as needed with various vendors. Arrange for pick-up/drop-off and inform relevant department heads.
Hotel
- Respond to all guest inquiries (including phone, email, in-person, and HotelPlanner) in a timely manner and track guest info, contact method, and booking status in Inquiry Log.
- Create and update discounted rates and promotions in Stayntouch.
- Create room blocks for guests at competitive rates in Stayntouch. Build out contracts to be signed by guests. Log group bookings in Groups Booked spreadsheet.
- Create rooming list with rates for guests and assign guest rooms within group blocks as needed. Note any specific needs/requests and assign those specific rooms as needed.
- Monitor group bookings and communicate with guests leading up to their stay regarding additions or releases from the block.
- Communicate any block-specific details (i.e. billing, assignments) to Hotel GM and Front Desk.
- Coordinate pickup/drop-off locations for transportation with the planner or host as needed.
- Communicate specifics to Hotel GM and Front Desk to keep all hotel staff informed.
- Coordinate drop-off and distribution of gift bags with guests and communicate with Hotel
