We are seeking a highly organized and detail-oriented Manager / Event Coordinator to join our dynamic and talented team. The ideal candidate will be responsible for planning, executing, and overseeing various events from conception to completion. This role requires strong communication skills and exceptional time management. This role will also work at our award winning restaurant Casa Susanna a few shifts week.
Roles and duties:
Oversee Sales of Events for Camptown and The Meadow.
Compensation:
- $65-75K annual base pay, Health Insurance offered.
- 2% commission of all event sales that you book. An additional 3% commission possible for execution of events, on additional days.
- Commissions received at the completion of the event.
- schedule will vary based on time of year with an anticipated 2 day/3 days split of your schedule between Casa Susanna and Camptown Events pending time of the year and business needs.
- Full time position
- 10 days of vacation time per year. Resets yearly on hire date.
- 40 hours of sick leave per year. Resets yearly on hire date.
Reports to: Director of Operations.
Supervises: Event Day of Coordinator, Event Staffs
Maintains Inventory. Organizes all event related items at both locations. Handles all necessary rentals, keeps sharable updated files on all events. Facilitates property maintenance in correlation for Events. Makes all needed, approved purchases. Coordinates all aspects of every event and hands off detailed one sheet to the day of
coordinator.Present a detailed BEO (Banquet Event Order) two weeks prior for all events. Is there to greet guests and to introduce coordinator
Job Functions + Responsibilities:
● Event Logistics
○ Respond to all event inquiries in a timely manner.
○ Create a professional and thoughtful event for all guests.
○ Be kind and engaging.
○ Follow up with inquiries one week after initial contact if you haven’t heard back from the client.
○ Keep a record of all inquiries and outreach, including results.
○ Work with clients to ensure that their needs are met in accordance with our policies.
○ Make sure that website and event deck are up to date at all times.
○ Provide a contract and take deposits for all events in a timely manner.
○ Work with Chef to ensure menus are up to date, update all necessary sales avenues and ensure that clients receive the proper information.
○ Provide finalized BEO for Chef and management at least 2 weeks prior to events.
○ Keep the Event Calendar up to date at all times.
○ Follow up after each event to ensure that guests were satisfied
○ Provide the accountants with all needed materials and information
○ Maintain, inventory and organize all event equipment and items
○ Coordinate setup, breakdown, cleanup, and maintenance for event spaces
○ Coordinate with the hotel any room bookings, admin fees etc
○ Process all related fees for events and assist in room assignments
○ All walk throughs to be handled personally
○ Oversight of any rentals
○ Must obtain COI from all outside vendors
○ Responsible for obtaining permits as needed
○ Order and maintain event liquor inventories

○ Responsible for scheduling of all FOH event staff and filling in if necessary.
○ Schedule and oversee all training of FOH Staff with Director of Operations
○ Legally obtain photos from events and post on social media to boost event sales.
○ Work with event companies/websites to push sales.
○ Reach out to corporate groups with event decks to push group sales.
