Position Overview

Empire Agricultural Services, doing business as Sigma Cannabis, is seeking a highly organized and detail-oriented Executive Office Manager & Bookkeeper to support our leadership team and ensure smooth daily office operations. This is a part-time, on-site role ideal for an experienced office manager with strong QuickBooks and bookkeeping expertise.

This position plays a critical role in supporting executive leadership while maintaining accurate financial records and efficient office operations in a fast-growing, regulated cannabis manufacturing environment.

Key Responsibilities

Bookkeeping & Financial Support

Perform all QuickBooks data entry and maintain accurate financial records
Manage accounts payable (AP) and accounts receivable (AR) functions
Pay bills and track expenses in a timely and organized manner
Support the VP of Sales with AR/AP tasks as needed
Ensure bookkeeping entries are accurate, complete, and well-organized

Executive & Departmental Support

Provide administrative and operational support to the:
CEO
COO
VP of Sales & Operations
VP of Edibles
Assist leadership with day-to-day administrative needs as required

Office & Facility Management

Oversee general office management functions to ensure the office runs smoothly and efficiently
Order office supplies and manage office inventory
Serve as the primary point of contact with the landlord
Coordinate basic facility needs and office upkeep

Qualifications & Requirements

Proven proficiency in QuickBooks with a strong understanding of bookkeeping and accounting entries
Demonstrated experience in office management or executive administrative roles
Strong organizational skills and attention to detail
Ability to manage confidential financial and business information with discretion
Reliable, self-directed, and comfortable working independently
Prior experience in a regulated industry is a plus, but not required

Work Schedule

15 hours per week
Monday through Friday
9:00 AM – 12:00 PM, on-site
